Case Study | Vinita Public Schools

The Vinita Public Schools system consists of one board office and four school sites – a lower elementary, upper elementary, middle, and high school. Having reliable copiers and printers installed at each location is a necessity in a school system like Vinita Public Schools, which serves about 160 support and certified education faculty and nearly 1,300 students.

Working in the education industry for 37 years, Kelly Grimmett, who has been superintendent of Vinita Public Schools since 2014, understands the needs of the school district. “With school systems, when decisions are made, the money spent and ROI are some of the top considerations,” said Grimmett.

After a recent evaluation of their technology investments, the IT team felt they were putting a lot of money and time into servicing the laser copiers they had installed at each site. Printing for both administrative as well as student requirements is a critical part of any school’s workflow, which makes it important to ensure printing technology and maintenance are as cost-effective as possible without sacrificing quality.

“We are constantly printing and a lot of my troubleshooting dealt with print output,” said Cal Hardage, IT director, Vinita Public Schools. “There were many instances when we’d have copies come out with a line down a third of the sheet.” There was also a decrease in print quality as the toner would get close to depletion. “As the toner would near end of life, prints would often come out significantly lighter.”

“The appearance of the copies we make is important, especially for our teachers who don’t have a lot of free time to be reprinting,” said Grimmett. “When they use time on their breaks to print materials for their students, get back to their classrooms and notice that their copies aren’t up to par, it’s not only disappointing but also a waste of time, paper, and supplies.

New Technology Performance Excels

Grimmett and his IT team replaced all the Vinita Public Schools laser copy machines with five WorkForce Enterprise WF-C20600 MFPs and three WorkForce Pro WF-C878R MFPs throughout the school sites. They also installed five WorkForce Pro WF-C579R workgroup MFPs and 25 WF-C529R workgroup SFPs throughout the district.

“Previously, when an issue came up with the laser copiers, we would first send our techs out to see if it was a simple fix. If not, we would call it in. However, we wouldn’t know how long it was going to be before a technician would arrive,” said Grimmett. “The past year with the Epson printers, we really haven’t had much of a need for technicians.”

That says a lot about the equipment,” shared Hardage. “And, with the print jobs, there has been no fading – the ink is good to the last drop.”
